The short version
- Kanoka Travel is an adults-only (21+) group travel community. Discretion is part of what we do, and that includes how we handle your information.
- We never sell your personal information, and we never share it for advertising.
- Lifestyle details, like what you are looking for, are sensitive. You never have to give them to us. If you do, we use them only to run the community and plan trips.
- We only send marketing email to people who ask for it and confirm their address. Every marketing email has an unsubscribe link.
- We do not send marketing text messages.
- You can ask to see, correct, download or delete your information at any time by emailing travel@kanokatravel.com.
1. Who we are
This policy covers kanokatravel.com, including our private member community, our forms and our mailing list. “Kanoka Travel”, “we” and “us” mean Kanoka Travel, 59 Cliff St, Norwich, CT 06360, USA. You can reach us at travel@kanokatravel.com.
If you book a trip with us, the trip agreement for that trip explains any extra information needed for travel and how it is handled. That agreement applies alongside this policy.
2. What we collect
Information you give us
- Your account. When you join the community we collect your email address, a password (stored in encrypted, hashed form, never readable by us), your first name, an optional last name and a nickname. The sign-up form also asks you to confirm that you are 21 or older, and we record the date and time you confirmed.
- Your profile (all optional). Profile and cover photos, a bio, member type (for example couple, single woman or single man), what you are looking for, travel style, favorite destinations, home base, age range and languages.
- What you post in the community. Activity posts, group and forum posts, replies, events you submit and anything else you choose to share with other members.
- Our forms.
- Destination survey: your destination and trip-style picks, budget range, when and how long you like to travel, what matters to you when choosing a trip, how you heard about us and anything else you tell us. You can also choose to tell us who you would travel as and your preferred group size. At the end, we ask for your first name, email, an optional phone number and your consent choices.
- “First look” sign-up: your name, email, an optional phone number and your consent choices.
- Trip inquiry: your name, email, an optional phone number, the trip or destination you are interested in, preferred dates, your message and your consent choices.
- Every form asks you to confirm that you are 21 or older, and we keep a record of that confirmation.
- Emails you send us at travel@kanokatravel.com.
- Blog comments. Only signed-in members can comment. We store your comment with the name and email address from your account.
- Event registrations. If we open registration for an event on the website, we collect the details you enter to register. We do not take payments on this website.
Information collected automatically
- Form details. With each form submission we store your IP address, your browser and device type, the page you used, the page that referred you and any campaign tags in the link you followed (for example “utm_source=instagram”). If you are signed in, we also note your member ID.
- Comment details. Your IP address and browser details, used to spot spam.
- Website analytics. We use Google Analytics to understand how visitors use our public pages: pages viewed, approximate location (city or region level), device, browser, referring site and basic interactions. Analytics is switched off for signed-in members.
- Email engagement. Our marketing emails may include a tracking pixel and tracked links, so we can see whether an email was opened and which links were clicked. We use this only to improve our emails and keep our list healthy.
- Sending records. Our email system keeps a copy of each email we send (recipient, subject and content) for 14 days, so we can fix delivery problems.
- Server logs. Like most websites, our server records technical information about requests (IP address, date and time, page requested and browser) for security and troubleshooting.
3. Sensitive information
Some information you might share with us reveals details about your sex life or relationships. Connecticut law and other laws treat this as sensitive data. For us, this includes:
- the lifestyle fields on your profile (member type, what you are looking for, travel style), plus anything similar you choose to post in the community; and
- the optional survey questions about who you would travel as and your preferred group size.
How we handle it:
- It is always optional, and we only use it with your consent. The lifestyle fields on your profile are saved only after you tick a separate consent box, either when you sign up or later on the Lifestyle tab of your profile. We record the date and time you gave consent. If you untick the box, we treat it as withdrawing consent and delete your lifestyle details. In the survey, if you answer those two optional questions, you must also tick a separate consent box.
- Limited visibility. Our community is private. Profiles, posts and groups are visible only to signed-in members, not to the public or search engines. Your answers to those two optional survey questions are seen only by the Kanoka Travel team. They stay in our website database and are never added to our mailing list.
- Never sold, never used for advertising, and never shared with anyone except the service providers who host our website, or where the law requires it.
- You can withdraw your consent at any time. Untick the consent box on the Lifestyle tab of your profile (this deletes your lifestyle details), or email us and we will delete them and your survey answers.
4. How we use your information
We use your information to:
- run the community and your account, and show your profile and posts to other members;
- reply to your inquiries and help you plan and book trips;
- plan future trips (we look at survey results as a group to choose destinations and formats);
- send trip news, early access and offers by email, only if you opted in and confirmed your address;
- make those emails relevant, using the interests you gave us, such as destinations, trip style and where you signed up;
- keep Kanoka safe: enforcing our Terms (including the 21+ rule), moderating the community, and blocking spam and abuse;
- understand how our public pages are used, so we can improve them; and
- meet our legal obligations.
We do not sell your personal information, use it for targeted advertising, or use it to make automated decisions that have legal or similarly significant effects on you. We do not use or sell your personal information to train large language models or other AI models.
5. Email, and no marketing texts
- Double opt-in. When you tick the email box on one of our forms, we send one confirmation email. You are only added to our list if you click the confirmation link.
- Discreet. Our emails come from Kanoka Travel (travel@kanokatravel.com) and use discreet subject lines.
- Unsubscribe any time. Every marketing email has an unsubscribe link and a link to manage your email preferences. You can also just email us. When you unsubscribe, we keep a note of your email address so we don’t email you again.
- Service emails. We still send emails you need, such as account activation, password resets and replies to your inquiry.
- No marketing texts. We do not send marketing text messages. Your phone number is always optional. We only use it to contact you about a trip if you ask us to. If we ever start a text message program, we will ask for your separate consent first and update this policy.
6. Who we share it with
We never sell your information. We use a small number of service providers who handle it on our behalf, only to run our services:
| Provider | What they do for us | What they receive |
|---|---|---|
| Hetzner Online GmbH | Hosts our website and database on servers in Germany | Everything stored on the website |
| xCloud | The server management platform we use to run and maintain the server | Technical access to the server for maintenance |
| Google Workspace | Our email account and the mail servers that send our emails | Emails to and from you, including your email address |
| Google Analytics and Search Console (via Site Kit) | Visitor statistics for our public pages, and reports on how our site appears in Google Search | The analytics data described above. Search Console reports are summaries, not information about individual visitors. |
| Gravatar (Automattic) | Profile pictures in our internal contact list | A scrambled (hashed) version of an email address |
The community, form, mailing-list and events software we use runs on our own server. Your information in these tools stays on our server and is not sent to the software makers.
We may also share information:
- With travel partners, when you book. For example, the resort, cruise line or operator that needs your details to deliver your trip, as described in your trip agreement.
- When the law requires it, or when it is needed to protect someone’s safety or to protect our rights.
- If our business changes hands. In that case we would tell you, and this policy would continue to protect your information.
Social media. We link to our pages on Instagram, Facebook and X. We do not use the Meta (Facebook) Pixel, social “like” buttons, embedded social feeds or any other social media tracking on our website. If you follow one of those links, the social network’s own privacy policy applies.
7. Cookies
We use only a few cookies. None of them are advertising cookies.
| Cookie | Set by | Why | How long |
|---|---|---|---|
| _ga, _ga_1TMFDF3FHD | Google Analytics | Counts visits and tells returning visitors apart on our public pages. Not set for signed-in members. | Up to 2 years |
| wordpress_logged_in_…, wordpress_sec_… | Our website | Keeps you signed in | Until you close your browser, or 14 days if you choose “Remember me” |
| wordpress_test_cookie | Our website | Checks that your browser accepts cookies when you sign in | Until you close your browser |
| wordpress_no_cache | Our website | Shows you up-to-date pages instead of cached copies while you are signed in | Until you close your browser |
Our community software may set extra short-lived cookies it needs for features like feeds and forums. Our fonts are served from our own server, and our pages do not load Google Maps. Google’s own cookies and policies apply to Google Analytics, described above.
Your choices: you can block or delete cookies in your browser settings. If you block the sign-in cookies, you won’t be able to use the community. To stop Google Analytics on every website, you can install Google’s opt-out browser add-on (tools.google.com/dlpage/gaoptout).
8. How long we keep it
- Account and profile: for as long as your account is open. You can delete your account yourself in your account settings, or ask us to do it. Copies in our backups are kept for up to 30 days and then overwritten.
- Form entries (survey, sign-up, inquiry): 24 months after you submit them, unless you ask us to delete them sooner. Inquiries that turn into a booking are kept with the booking records, as described in the trip agreement.
- Mailing list: until you unsubscribe or ask us to delete your details. Unconfirmed sign-ups are removed after 30 days. After you unsubscribe, we keep only your email address, so we don’t email you again.
- Sending records: 14 days.
- Google Analytics data: 14 months.
- Blog comments: for as long as the post is online, unless you ask us to remove them.
- Server logs: up to 30 days.
9. Your rights and how to use them
Wherever you live, you can:
- ask whether we hold information about you, and get a copy of it;
- correct it;
- delete it;
- get a copy in a portable format;
- withdraw any consent you gave (for example, remove profile details or unsubscribe); and
- opt out of marketing email at any time.
Many of these you can do yourself: edit your profile, delete your account in your settings, or use the unsubscribe link. For anything else, email travel@kanokatravel.com with the subject “Privacy request”. To protect you, we will confirm the request comes from you. Usually this means replying from the email address we have on file. We answer within 45 days. If we need more time, we will tell you, and we can extend once by up to another 45 days. It’s free, and we will never treat you differently for using your rights. You can also ask someone to make a request for you, with your written permission.
Connecticut residents
Under the Connecticut Data Privacy Act you have the rights above. You also have the right to opt out of the sale of your personal data, targeted advertising and certain profiling. We do none of these, so there is nothing to opt out of. If that ever changes, we will update this policy first and give you a clear way to opt out, including by honoring browser signals such as Global Privacy Control. We only process sensitive data with your consent, and you can withdraw it at any time.
Appeals. If we turn down your request, you can appeal by replying within 60 days with the subject “Privacy appeal”. We will answer in writing within 60 days and explain our decision. If you are still not satisfied, you can contact the Connecticut Attorney General at portal.ct.gov/ag.
California and other US states
We do not sell or “share” personal information (in California, “sharing” means for cross-context behavioral advertising). We do not use sensitive personal information for anything beyond providing the services you ask for. Residents of California and other states with privacy laws can use the rights described above in the same way.
10. Adults only (21+)
Kanoka Travel is only for adults aged 21 and over. We do not knowingly collect information from anyone under 21. If we learn that someone under 21 has given us information, we will close their account and delete it. If you think this has happened, please tell us at travel@kanokatravel.com.
11. Keeping your information safe
We use encrypted connections (HTTPS) across the site. Passwords are stored hashed. The community is only open to signed-in members, and access to our systems is limited to our team. We protect our forms against spam, and we keep sensitive survey answers out of our mailing list. No system is perfect, so please think about what you share, choose a discreet profile photo and use a unique password. If a security incident affects your information, we will tell you as the law requires.
12. Where your information is stored
Our website and its database are hosted in Germany (European Union). Some of our providers, such as Google, process information in the United States and other countries. If you are in the European Economic Area or the UK, we rely on:
- your consent, for marketing email and sensitive data;
- what is needed to provide your account and the services you ask for; and
- our legitimate interests, for security and for understanding how our site is used.
You can also complain to your local data protection authority.
13. Changes to this policy
When we update this policy, we will change the “Last updated” date above. If a change is significant, we will tell members and subscribers by email or with a notice on the site. We will not use information we already hold in a significantly different way without asking you first.
